GearFolio Privacy Policy

This Privacy Policy explains how Land Tech Web Designs, Corp
(“we,” “us,” or “our”) handles information in connection with the
GearFolio mobile application for iOS and Android
(the “App”).
GearFolio is a local-first gear vault. The Instrument Pack
is built for musicians, collectors, churches, studios, schools, and touring
players. Your collection data is stored on your device by default. We do not
operate a developer-hosted login account for the App, and we do not sync your
vault to our servers. Optional Instrument Pack cloud sync
uses your Apple iCloud (CloudKit) or Google Drive account, as
described below.

2. What the App stores on your device
When you use the App, the following information may be stored
locally on your device (for example in the App’s SQLite
database and app document storage):
- Instrument details (name, manufacturer, model, year, serial number, category, condition, notes)
- Purchase price, estimated value, market comps you enter, and related collection totals
- Optional photos and receipt images you attach
- Accessories, modifications, tunings, and maintenance history
- Gig Packs / packing checklists (Instrument Pack)
- Lending / borrower records (Instrument Pack)
- Theft / if-found contact details you enter (Instrument Pack)
- QR identifiers that open deep links within the App (Instrument Pack)
- App preferences (for example last backup time, backup reminder setting, Instrument Pack entitlement state observed from the store)
Because this data stays on your device unless you use optional cloud sync or
export, deleting the App (or using in-app
Delete all local data) removes that local vault from the
device. We cannot recover local vault data from our servers because we do
not host it.
3. Information we do not collect
For the current version of the App:
- We do not require you to create an account with us
- We do not operate a WordPress / website “connect your site” login for this App
- We do not receive your instrument photos, serial numbers, borrower names, or vault notes on our servers
- We do not receive your cloud-sync passphrase
- We do not sell personal information
- We do not use third-party advertising SDKs in the App
- We do not use analytics SDKs that transmit vault contents off your device
Apple’s App Privacy nutrition labels and Google Play Data Safety answers
should be read together with this policy. On-device storage that is not
transmitted to us is not treated as data collected by us. Optional sync to
Apple or Google is described in section 8.
4. Permissions the App may request
Photos / photo library
If you choose to attach a photo to an instrument, the App asks for photo
library access so you can select an image. Photos are saved in the App’s
local storage on your device and are not uploaded to us.
Optional OCR assist (scan headstock/label or receipt) uses
on-device text recognition (Apple Vision / Google ML Kit)
to suggest fields such as manufacturer, serial, or purchase price. Recognized
text is processed on your device to prefill the form; we do not receive the
image or OCR results.
Notifications
If you use Instrument Pack maintenance due reminders or the optional monthly
vault backup reminder, the App may ask for notification permission so it can
schedule local reminders on your device. These reminders
are triggered on-device; we do not send push notifications from our servers.
Microphone
If you use the in-app chromatic tuner, the App asks for microphone access
so it can detect pitch from your instrument. Audio is processed on-device
for tuning feedback only and is not recorded, stored, or uploaded to us.
Camera
The current App generates QR codes for instruments. Generating a QR image
does not require camera access. If a future update adds QR scanning, we
will request camera permission only for that purpose and update this
policy.
5. Purchases and subscriptions (Instrument Pack)
Instrument Pack is an auto-renewable yearly subscription sold through
Apple In-App Purchase (iOS) and
Google Play Billing (Android). Product ID:com.instrumentgearkeeper.pro.yearly
(legacy Pro product ID — kept so existing subscribers retain access).
Payment processing, billing, cancellation, and refunds are handled by Apple
or Google, not by us. Those companies may collect payment and account
information under their own privacy policies:
The App uses the store APIs to verify whether your device has an active
subscription so Instrument Pack features can unlock. We do not receive your
full card number, and we do not unlock Instrument Pack through a website
checkout inside the App.
Manage or cancel your subscription in your Apple ID or Google Play
subscription settings.
6. Sharing and PDF reports
Instrument Pack users may generate insurance-style PDF collection reports,
gig pack PDFs, if-found flyers, and share or export files using the device’s
system share sheet. If you share a file, you choose the destination (email,
Files, another app, etc.). That destination is outside our control and
subject to that service’s own terms and privacy practices.
7. Deep links and QR codes
Instrument QR codes use the App schemeinstrument-gearkeeper://instrument/{id}. Opening a link only
looks up the matching instrument stored on that device. It does not send
the instrument record to our servers. Recovery QR codes for stolen/missing
gear may encode finder contact text you provide so a scanner can display it
without using our servers.
8. Vault backup and cloud sync
Manual export / import
Instrument Pack users can export a vault backup (plain JSON or a
passphrase-encrypted .igk file) and choose where to save it
using the device share sheet (for example Files, iCloud Drive, or Google
Drive). Encryption uses on-device AES with a passphrase you choose; we never
receive the passphrase or the backup file unless you separately email it to
support.
Optional Instrument Pack cloud sync (encrypted)
Instrument Pack users may also upload an encrypted vault backup to cloud
storage tied to their own platform account:
- iOS: Apple iCloud / CloudKit private database
associated with the Apple ID signed into the device
(containeriCloud.com.instrumentgearkeeper.app). - Android: the user’s
Google Drive application data folder (not a public
shared Drive file), after the user signs in with Google for that purpose.
Before upload, the App encrypts the vault on-device with a passphrase you
choose. Land Tech Web Designs does not operate the CloudKit
or Drive storage, does not receive the encrypted backup or passphrase, and
cannot decrypt or recover a forgotten passphrase.
Apple and Google process that encrypted data under their own privacy
policies as providers of iCloud / Drive. You can remove the cloud backup from
inside the App (Remove cloud backup) and/or manage data through your Apple ID
or Google Account settings. Restoring a cloud backup replaces the vault on
that device after confirmation.
9. Children’s privacy
The App is not directed to children under 13, and we do not knowingly
collect personal information from children. If you believe a child has
provided information to us through a channel we control (for example a
support email), contact us and we will delete it.
10. Data security
Local vault security depends on your device security (passcode, biometric
lock, OS updates, and who has physical access to the device). We recommend
keeping your device updated and protected. Because vault data is local, a
lost or unlocked device can expose that data. If you use encrypted backups
or cloud sync, protect your passphrase — we cannot recover a forgotten
passphrase.
11. Your choices
- You can decline photo, microphone, or notification permissions; related features will be limited.
- You can delete individual instruments and related records in the App.
- You can use Delete all local data to wipe the on-device vault (this does not cancel a subscription).
- You can remove an optional Instrument Pack cloud backup from the App’s sync controls.
- You can uninstall the App to remove local App storage (subject to OS behavior).
- You can manage subscriptions in Apple Account or Google Play settings.
- You can contact us for privacy questions using the support links above.
12. International users
We are based in the United States. The App’s local vault remains on your
device. Optional sync stores an encrypted backup with Apple or Google under
your account (those providers may process data in multiple regions under
their policies). If you contact us by email or through our support site,
that correspondence may be processed in the United States.
13. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated”
date at the top will change when we do. Continued use of the App after an
update means you acknowledge the revised policy.
